Janitorial Services

The Wilkinson Public Library is requesting bids for janitorial services for the Library facility located at 100 W. Pacific Ave. in Telluride, CO.

Janitorial: Scope of Services

Wilkinson Public Library

January 1, 2024 thru December 31, 2024

*The service provider must provide proof of professional liability insurance.

Please provide a detailed bid for monthly costs for regular duties and a separate bid for special duties for the following scope of work.

Also, please include:

*What size crew will work at the Library?

*How long do you anticipate it will take your crews to complete the daily duties?

*How many years of experience does the supervisor have?

*How many accounts does the supervisor manage?

*Will the supervisor be on-site each evening?

*Have you had any contracts terminated early within the last five years?  If yes, please explain.

*How long has your company been in the contract janitorial business?

*How will the quality of the cleaning be monitored?  Include such information as inspection frequency, recording methods of onsite logbook, and steps that will be taken to correct problems.

*Please describe what products, equipment, procedures, and tasks you will use to ensure the Library looks its best at all times.

*Sanitation and odor control of the restrooms is important. Please describe what products, equipment, procedures and tasks you use to ensure restrooms are clean and odor-free.

*The Library has a variety of flooring including carpet tile, vinyl tile and other hard surfaces.  Please describe the products, equipment, and procedures that you will use to ensure all flooring looks its best.

*The Contractor or personnel of the Contractor will be responsible for arming and disarming the alarm systems during the contract. Please describe your corrective measures for dealing with false security alarms as a result of your staff.

 

Hours:

*This project involves the daily, weekly, as needed and twice annually cleaning of the approximately 20,000 square-foot Wilkinson Public Library. The Library is open 7 days a week throughout the year, excluding the following holidays: New Year’s Day, Martin Luther King Jr. Day, President’s Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Indigenous People’s Day, Thanksgiving Day, Day after Thanksgiving, Christmas Eve, Christmas Day

*Cleaning must be completed outside of the Library’s public hours: (Before 9 a.m. M-Sun.; or
after closing 7 p.m. M-Th; 6 p.m F; 5 p.m Sunday)

 

The contractor will provide:

*All chemical cleaning supplies and equipment to adequately clean the Library.  Any contractor equipment stored on the Library premises must be clearly marked with the Contractor’s company name.

* MATERIAL SAFETY DATA SHEETS: It is a federal law that chemical manufacturers and importers must develop an MSDS for each hazardous chemical they produce or import, and must provide the MSDS automatically at the time of the initial shipment of a hazardous chemical to a downstream distributor or user, or anytime the chemical makeup of the product is changed.  Distributors must also ensure that downstream employers are similarly provided an MSDS.

Contractors who are awarded this contract, and if the above paragraph applies to this bid, must submit Material Data Sheets which include information regarding the specific chemical identity of the hazardous chemical(s) involved and the common names.  In addition, information must be provided on the physical and chemical characteristics of the hazardous chemical; known acute and chronic health effects and related health information; exposure limits; whether the chemical is considered to be a carcinogen by NTP, IARC, or OSHA; precautionary measures; emergency and first-aid procedures; and the identification of the organization responsible for preparing the sheet.

 

The Library will provide:

*Bathroom supplies: toilet paper, paper towels, feminine products, hand soap

*Facial tissue, toilet seat covers, diaper changing station liners, can liners, urinal screen

and deodorizers

 

REGULAR DUTIES

 Daily

*ALL RESTROOMS: Disinfect floors, surfaces, sinks, faucets, toilets and urinals, empty trash and feminine product receptacles; Refill all toilet paper, paper towels, toilet seat covers, diaper changing station liners, feminine products and soap dispensers

*ENTIRE BUILDING: Empty all trash and recycle cans, including meeting rooms, staff offices, program room, lobby, trash, laundry room, garage AND outdoor trash cans on terraces

*ENTIRE BUILDING: Vacuum public areas, this includes program room, lobby, youth area, magazine room, 2nd floor, meeting room hallway and meeting rooms, etc.

*MAIN STAIRS: Sweep & mop vinyl floors, disinfect hand rails

*GLASS: Clean glass on front doors, lobby doors and meeting rooms

*PUBLIC AREA TABLES and chairs: Disinfect / wipe down in all areas – Youth, Teen, 2nd floor, meeting rooms

 

Tuesdays and Thursdays:

*STAFF BREAKROOM: Clean and sanitize floor, counters, sinks, and appliances (including inside of microwave)

*WINDOW SILLS / MAIN STAIRWELL: Wipe down window sills (youth area, teen area, 2nd floor, magazine room) and dust main patron stairwell sills

*EXTERIOR TERRACES: Weather permitting (May – October): Sweep

 

Wednesday

*STAIRWELL FROM GARAGE: Sweep and mop stairwell from garage

*STAFF WORK AREAS/OFFICES: Vacuum

 

As Needed

*Wipe down inside of elevator and mop elevator floor

*Spot clean carpet

*Vacuum upholstered furniture

*Spot clean walls (meeting rooms)

*Program room and 2nd floor staff sink and kitchen counters

 

SPECIAL DUTIES (provide separate bid)

 

Twice Annually – Spring  and Fall

*Carpet Cleaning

*Deep Clean vinyl-tile floors (breakroom, stairwell)

*Sweep the Parking Garage floor

*Deep clean bathrooms

*Deep clean public areas: vacuum move tables/behind furniture, wipe down walls, dust bookshelves, behind computers

*Disinfect inside/outside of trash cans

 

RFP RATING CRITERIA:

All responses shall be rated on the following factors:

*Cost

*Company Qualifications and Experience (including reference checks)

*Availability and Capacity of the Company to Perform the Work

 

The award will be made to the most qualified company whose proposal is deemed most advantageous for the Library.  This contract shall be for a period of twelve (12) months.
